Time Clock Rounding Calculator

Type a clock-in and a clock-out, pick an interval and see the rounded punches and paid hours. It rounds to the nearest 5 minutes, 6 minutes (a tenth of an hour) or 15 minutes. The 15-minute option is the 7-minute rule, so 8:07 becomes 8:00 and 8:08 becomes 8:15.

Quick answer: Time clock rounding moves each punch to a set interval before the hours are added up. On the 15-minute grid, punches 1 to 7 minutes past a quarter hour round back and 8 to 14 minutes round forward. Federal rules accept 5, 6 or 15-minute rounding only if it averages out fairly over time.

1. Enter punchesExample: 8:53 AM and 5:07 PM.
2. Choose roundingNearest, always up or always down.
3. Take off lunchPaid hours use the rounded times.

This page does the rounding sums for one shift. The rules behind them, including the 7-minute rule and state limits, are explained in the time clock rounding guide. To round a whole week of punches and split overtime, turn on rounding in the time card calculator.

Worked example: one shift on three grids

Picture a cashier who clocks in at 8:53 AM and out at 5:07 PM. She takes a 30-minute unpaid lunch. On the clock that is 8 hours 14 minutes, or 7 hours 44 minutes after lunch.

On the 15-minute grid, 8:53 moves forward to 9:00 and 5:07 moves back to 5:00. Her paid time falls to 7 hours 30 minutes. The tenth-of-an-hour grid gives 8:54 to 5:06, which pays 7 hours 42 minutes. The 5-minute grid gives 8:55 to 5:05, which pays 7 hours 40 minutes.

So the quarter-hour grid cost her 14 minutes that day. Had she punched in at 8:52 instead, the clock would have pulled her back to 8:45 and paid her 7 extra minutes. Over a month, a fair clock should show days of both kinds.

Result: 7:30 paid under the 7-minute rule (7.50 hours), against 7:44 really worked (7.73 hours).

Time clock rounding chart (7-minute rule)

Rounded punch for every minute from 8:00 to 8:59 AM (nearest method). The pattern repeats every hour. Exact midpoints on the 6-minute rule, such as 8:03, round up, as this calculator does.

Rounding a lunch break and a full week

Each punch is rounded on its own, and lunch punches are no different. A shift with a lunch out and lunch in has four punches, and each one moves to the grid. The break box on this page takes a fixed number of minutes instead. Use it when lunch is a set 30 or 60 minutes.

Rounding each punch and rounding the daily total can give different answers. A day of 7 hours 44 minutes rounds to 7:45 as a total. Rounding the two punches first gave 7:30 in the example above. Follow the method your employer's written policy describes.

In California, meal-period punches are a special case. The state's Supreme Court ruled in 2021 that employers may not round time punches for meal periods (Donohue v. AMN Services). Many California employers now pay to the exact minute for that reason.

Time clock rounding in Excel or Google Sheets

Put the clock-in time in B2, the clock-out time in C2 and the unpaid lunch minutes in D2. Format the rounded cells as time. TIME(0,15,0) stands for 15 minutes, so the same formulas work in both programs.

What you wantFormula
Round to the nearest 15 minutes (7-minute rule)=MROUND(B2,TIME(0,15,0))
Round to the nearest tenth of an hour=MROUND(B2,TIME(0,6,0))
Round to the nearest 5 minutes=MROUND(B2,TIME(0,5,0))
Always round up to 15 minutes=CEILING(B2,TIME(0,15,0))
Always round down to 15 minutes=FLOOR(B2,TIME(0,15,0))
Paid hours from rounded punches, minus lunch=(MROUND(C2,TIME(0,15,0))-MROUND(B2,TIME(0,15,0)))*24-D2/60

Times are stored as fractions of a day, so an exact midpoint such as 8:03 on the 6-minute grid can tip either way. Type punches to the whole minute and check those rows against the chart above.

Common mistakes

Is time clock rounding legal?

Yes, under federal law, if it is neutral. 29 CFR 785.48 allows rounding to the nearest 5 minutes, 6 minutes or 15 minutes. Averaged over time, nobody may lose paid minutes. So a clock that always rounds down breaks the rule. California is stricter on meal-break punches, and the 7-minute rule guide explains more.

Time clock rounding questions

How does time clock rounding work?

The clock moves each punch to the closest point on a grid, often every 15 minutes, and pays the shift from those moved times. On that grid 8:07 turns into 8:00, while 8:08 turns into 8:15.

How do I round time to the nearest 15 minutes?

Set the calculator to "15 minutes" and "Nearest". Some workplaces always round up or always round down, and both options are in the same menu.

What does 8:53 round to with the 7-minute rule?

It goes to 9:00, because 8:53 sits 8 minutes past 8:45. One minute earlier, 8:52 would drop back to 8:45.

What is the 6-minute rule?

Each punch goes to the nearest tenth of an hour, since 6 minutes is 0.1 hour. So 8:53 becomes 8:54, and totals come out in tenths, such as 7.7 hours.

How do I round to the nearest 5 or 10 minutes?

Find the closest multiple of 5 or 10. On a 5-minute grid, 8:02 drops to 8:00 and 8:03 climbs to 8:05. On a 10-minute grid, 8:04 drops to 8:00 and 8:05 climbs to 8:10.

How do I round time clock punches in Excel?

Use =MROUND(B2,TIME(0,15,0)) for the nearest 15 minutes, with the punch in B2. CEILING always rounds up and FLOOR always rounds down. Format the result cell as time.

Is time clock rounding legal?

Federal rules accept rounding to the nearest 5 minutes, tenth of an hour or quarter hour if, over time, workers are still paid for all the time they really work. State law can be stricter, so check yours too.

Is time clock rounding legal in California?

California courts have allowed neutral rounding of start and end punches in the past. Since 2021, employers may not round meal-period punches there. Many California employers now pay to the minute, so check your employer's policy.

Does rounding have to favor the employee?

It does not, but it has to be neutral. A fair policy rounds some punches up and some down, and the two even out over a few weeks. A clock that keeps trimming paid time fails the federal test.
