Printable Timesheet Template
This free printable timesheet template is a blank weekly or biweekly time sheet that you fill in by hand. Pick the sheet below and press Print, or save it as a PDF. Each day has spaces for clock in and clock out, plus a lunch break column. Daily and weekly totals and two signature lines sit at the bottom. For hours added up on screen, use the weekly timesheet calculator, the biweekly timesheet calculator or the time card calculator.
Set the week to start on Monday, Sunday or Saturday, and choose one, two or three in and out pairs a day. Two pairs suit anyone who clocks out for lunch. The employee name, company and dates can be typed in before printing or written in later.
Quick answer: Pick Weekly or Biweekly above and press Print. For a PDF, choose "Save as PDF" or "Microsoft Print to PDF" as the printer. Write each clock time by hand during the week, take off unpaid breaks, and add the daily hours at the end.
A blank form for your own records. Check your employer's rules for how time must be recorded.
How to fill out a printable timesheet
- Write the date next to each day you work, and leave days off blank.
- Fill in the clock-in and clock-out times as they happen. AM and PM or 24-hour military time both work, as long as you keep one style all week.
- Someone who clocks out for lunch uses the second in and out pair. Anyone with a set unpaid lunch can write the minutes in the Break column instead.
- For each day, take each in time from its out time and add the pairs. Then take off any unpaid break. Payroll often asks for decimal hours, so 7 hours 45 minutes goes down as 7.75.
- At the end of the week, add the days, sign the sheet and pass it to your supervisor to sign.
Worked example: one week on paper
Priya works at a garden center and fills in a weekly sheet with two in and out pairs. On Monday she clocks in at 8:00 AM, goes to lunch at 12:00 PM, comes back at 12:30 PM and leaves at 4:30 PM. Each pair is 4 hours, so she writes 8.00 for the day.
Tuesday to Thursday follow the same pattern. On Friday she skips lunch and works 8:00 AM to 1:15 PM in one pair. That is 5 hours 15 minutes, and the minutes chart below turns 15 minutes into 0.25.
Her total row reads 32.00 plus 5.25. She signs at the bottom and hands it to her manager.
Result: 37.25 hours for the week, written as 37:15 or 37.25.
Minutes to decimal chart for timesheets
Payroll often wants decimal hours instead of minutes. Divide the minutes by 60, or use the common values below. Keep a copy near the sheet if you fill one in each week.
| Minutes | Decimal | Minutes | Decimal |
|---|---|---|---|
| 5 | 0.08 | 35 | 0.58 |
| 10 | 0.17 | 40 | 0.67 |
| 15 | 0.25 | 45 | 0.75 |
| 20 | 0.33 | 50 | 0.83 |
| 25 | 0.42 | 55 | 0.92 |
| 30 | 0.50 | 60 | 1.00 |
For any other value, the hours to decimal calculator converts it.
Timesheet template in Excel or Google Sheets
The same layout works as a spreadsheet template. Put the date in A, clock in in B, clock out in C and unpaid break minutes in D, one row per day from row 2 to row 8. Daily hours go in E.
| Column or cell | Formula |
|---|---|
| E2, daily hours minus lunch | =MOD(C2-B2,1)*24-D2/60 |
| E9, weekly total | =SUM(E2:E8) |
| E10, overtime over 40 | =MAX(0,E9-40) |
| E11, gross pay with the rate in H1 | =MIN(40,E9)*H1+E10*H1*1.5 |
Format B and C as time, and E as a number with two decimals. MOD keeps an overnight shift from coming out negative.
Weekly, biweekly or one sheet per employee
A weekly sheet suits jobs paid every week, or anyone who hands in hours each Friday. The biweekly sheet has 14 rows in two blocks, each with its own total line. Overtime is counted per workweek under federal rules, so the two totals matter more than the 14-day sum.
For a team, print one sheet for each employee. Each person's hours and signature then stay on their own page. The sheet does not cover monthly periods, but two biweekly sheets cover most of a month.
Printable timesheet questions
Is this printable timesheet free?
Yes. There is no sign-up and nothing to download. Print it as often as you need, or save it as a PDF from the print dialog.
How do I save the timesheet as a PDF?
Press Print timesheet, then choose Save as PDF (Chrome, Edge, Mac) or Microsoft Print to PDF (Windows) as the printer. Only the sheet prints, and the site menu and text are left out.
Can I get a biweekly timesheet template?
Yes. Set Sheet to Biweekly for 14 rows split into week 1 and week 2. Each week has its own total line, so overtime can be worked out per workweek.
How do I fill out a timesheet with a lunch break?
Write the lunch as its own out and in, or put the unpaid minutes in the Break column. For example, in 8:00 AM, out 12:00 PM, in 12:30 PM, out 4:30 PM is 4 hours plus 4 hours, so 8 hours for the day. The lunch break calculator checks one day for you.
Does Excel have a timesheet template?
Excel offers ready-made timesheet templates when you start a new workbook. You can also build one in Excel or Google Sheets with the formulas above, using =MOD(C2-B2,1)*24-D2/60 for each day.
Is it timesheet or time sheet?
Both spellings are used and mean the same thing. "Timesheet" as one word is the more common form in payroll software today.
What should a timesheet include?
At minimum it needs your name, the dates of the pay period, the time in and out for each day, unpaid break time, daily hours, the weekly total and signatures. This sheet has all of these.
Can the timesheet add up my hours?
This page is a blank form. To total hours, overtime and pay for you, use the time card calculator or the biweekly timesheet calculator. Both print the same kind of sheet already filled in.
